Company cloud with Nextcloud

Your own company cloud: Nextcloud for small businesses.

Files, calendars and sharing in one place — on a server you control, instead of inside a big provider's subscription. I set up your Nextcloud completely and hand it over so your team can work with it from day one.

  • Files, calendars and sharing in one interface
  • Your data in a deliberately chosen environment
  • GDPR-compliant technical implementation
  • Backup, maintenance and support on request

What you get: a cloud that belongs to you.

Nextcloud is free software for file storage, calendars and collaboration. It does not run at a big platform company but on a server you choose yourself — which is why the result is called your own company cloud. I handle the complete setup, from the installation to a handover in plain language.

  • Nextcloud installed and configured for your business
  • Users, groups and folders arranged around the way you work
  • Access rights set so everyone sees exactly what they should
  • A handover that works without any technical background

And the costs? The honest answer: they depend on the server, your team size and the scope. That is why there is no made-up price here — you receive an individual quote after the first consultation. The three service levels further down show the range.

The company cloud is a technical service I offer alongside web design — the two are kept cleanly separate.

Why many businesses want out of Dropbox, Google Drive and the like.

The big cloud services are convenient — until you look closely. Three points come up in almost every first consultation:

The bill grows with every user

Big providers charge per user per month. A new part-time helper means a new account — and the fee keeps running for as long as the company exists. Your own Nextcloud is set up once; after that you pay for your server and, if you want it, for ongoing support. No licence per head.

Your data sits on someone else's servers

Quotes, customer lists, contracts: with a rented platform, others decide where that data lives and which terms apply tomorrow. With your own company cloud you determine the environment — and you can move with all your data at any time, without asking a provider for permission.

Data protection remains your responsibility

As soon as customer data is involved, the GDPR applies — to the cloud too. Your own Nextcloud in a deliberately chosen hosting environment makes that responsibility manageable: clear access rights, traceable shares, a documented setup. The technical implementation is GDPR-compliant; it does not replace legal advice.

What Nextcloud does: files, calendars, sharing.

Nextcloud feels like the familiar cloud services — except that everything runs in your environment. Three functions carry the daily routine:

Files: the same storage everywhere

Your team reaches the same folders from the office computer, the laptop and the phone. Changes sync automatically, deleted items land in the recycle bin, and older versions can be restored. I build the folder structure like a tidy workshop shelf: every handle is where you expect it.

Calendars and contacts: the whole team on the same page

Appointments, holiday planning and customer contacts live in one central place and connect to phones and email programs. No more juggling three calendars, none of which is up to date.

Sharing: links instead of attachments — with control

You send large files as a link instead of an email attachment, with a password and expiry date if you wish. Internally, group folders control who may read and who may edit.

Note

Nextcloud is free software with a large developer community. There is no licence fee per user — you invest once in the setup, not permanently in a subscription.

Three service levels: from setup to full care.

Every company cloud starts with the same clean setup. After that, you decide how much security and ongoing care to add.

Note

You will deliberately find no flat rates here — servers, team sizes and data volumes differ too much. After the first consultation you receive an individual quote with a clearly defined scope.

Level Basic — setup Standard — setup + backup Premium — setup + backup + maintenance
Who it is for You want a clean technical foundation and will handle day-to-day operation yourself afterwards. You additionally want to be sure that no data loss can hit your business. You don't want to think about any of it: a single point of contact keeps the cloud permanently in good shape.

How to read it For small teams with their own feel for technology Sensible as soon as important or sensitive data lives in the cloud For businesses that want relief instead of another task

Extension: secure access on the road via VPN.

If employees need to reach the cloud and internal systems from a home office, a building site or a customer visit, I add a VPN connection — an encrypted tunnel into your company network.

  • Encrypted access for home office, phone and field work
  • Fits the company cloud and your existing server setup
  • Set up properly instead of improvised remote access
Note

Depending on the environment I use WireGuard, for example — a modern, lean VPN technology.

Who benefits from a company cloud of their own.

Your own Nextcloud does not only pay off at corporate scale. What matters is whether data control, order and a single point of contact mean more to you than a big provider's logo.

Small offices and service providers

Quotes, invoices and project folders in one central place — with shares that still make sense in two years.

Trades businesses

Plans, site photos and measurements travel from the phone straight into the project folder — everything is waiting in the office before the van is back.

Practices and law firms

Where sensitive data lives, every access decision counts. Your own environment makes those decisions visible and traceable.

Agencies and creatives

Client material, internal data and projects cleanly separated — and large files go out as a link instead of a bounced email attachment.

Clubs and associations

Minutes, member lists and photos in one place, with clear rights for the board and the members.

Growing teams

The structure grows with you: new users, new folders, new rights — without the filing tipping over and without new licence costs per head.

Not sure which level fits your business? A short first consultation settles it — no obligation and no tech jargon.

How the setup works: four clear steps.

You know where the project stands at every moment. Smaller setups are usually ready for handover in two to four weeks.

01

First consultation

We clarify how your team works

By phone, WhatsApp or email: what data do you handle, who needs access, what gets in the way today? Afterwards you receive my quote — with a clearly defined scope.

02

Planning

Server, users and folders are planned

I choose the right hosting environment and draw up the folder and permission structure in advance — the blueprint of your cloud.

03

Setup

Installation, structure, fine-tuning

I install Nextcloud, create users and groups and test sharing, synchronisation and — depending on the level — the backup.

04

Handover

Your team gets to work

A short introduction, a plain-language handover, every access documented. If you wish, I stay on board afterwards with maintenance and support.

Frequently asked questions about your own company cloud.

The questions that come up most often in first consultations — answered briefly.

F.01 What is Nextcloud — and who owns my cloud?

Nextcloud is free software for files, calendars and collaboration that runs on your own server. That makes the cloud yours: you decide on the environment, the access rights and the rules — not a platform provider.

F.02 What does a company cloud of my own cost?

That depends on the hosting environment, your team size and the level of support you want — which is why I do not list flat rates here. After the first consultation you receive an individual quote with a clearly defined scope.

F.03 Is a self-hosted Nextcloud GDPR-compliant?

I implement the technical setup in a GDPR-compliant way — server choice, access rights and shares are documented so they stay traceable. This does not replace legal advice: contracts and legal texts are something you agree with your legal adviser.

F.04 Do we need our own server in the office?

No, a server in the office is not required. The company cloud usually runs in a rented hosting environment that I choose to match your data volume and budget. We clarify which solution makes sense for you in the first consultation.

F.05 Can we bring our files over from Dropbox or Google Drive?

Yes. Existing folders and files can be moved into the new structure — the move is often the best opportunity to tidy up storage that has grown over the years. I also set up users and groups to match the way you already work.

F.06 Who takes care of updates and backups after the handover?

That is your decision: with the Basic level your team runs the cloud itself, while with Standard and Premium I set up backups and keep the cloud in good shape with updates and maintenance.
